AI Readiness Checklist for South African SMEs

Before buying another AI tool, check whether your business has a clear problem, usable information and a team ready to test a better way of working.

1. Start with a costly, repeated task

Look for work that happens every week and consumes valuable staff time: quoting, customer enquiries, document processing, reporting or scheduling. Write down the current steps and the time they take. A focused problem is easier to improve and measure than a vague goal to “use AI”.

2. Check the information

AI works best when the source information is accurate, permissioned and easy to access. Review duplicate customer records, missing fields, inconsistent naming and documents stored in personal inboxes. Cleaning one small dataset can create more value than adding a complex platform.

3. Choose a safe first pilot

Good first pilots support people rather than make unsupervised decisions. Examples include drafting replies for review, summarising meetings, classifying enquiries or flagging incomplete records. Keep a human approval step wherever money, compliance or customer relationships are involved.

4. Define success before launch

Choose one or two measures: hours saved per week, response time, error rate, conversion rate or customer satisfaction. Record a baseline for two weeks, run the pilot for four weeks, and compare the result. If the improvement is not visible, change the process before scaling the tool.

5. Give the team a clear operating rule

Tell staff what information may be entered, what must remain private, when outputs require checking and who owns the final decision. Training is part of the implementation, not an optional extra.
